RentRight's Powerful Database Engine
RentRight Next Generation uses Microsoft SQL Database (client server).
This is the same database used by large Fortune 500 companies due to
it's powerful features and reliability. Compared with most other
property management software that is written with an Access database,
SQL Server protects you from corruption and data loss.
What This Means for You
If you are a small company:
- No threat of a corrupted database
- You can log in from home or anywhere in the world to
your main database. The software will work virtually as fast as if
you were sitting on the computer with the database. There is no
extra charge for this feature, as long as only one person will be
accessing the database at a time.
If you are a large company:
- Multiple sites can log into the main database - each site can be set up to view all or sections of the data.
- No limit to the number of users who can log in
- No threat of a corrupted database
- No limit to the amount of data
Internet-Based/Remote Access
With RentRight Next Generation, you can install RentRight in one location
then access this database remotely from anywhere you have a high-speed
connection. For example, you can use your laptop to access your
RentRight database from an internet cafe or a home computer. Or you may
have multiple sites that access one large database.
Multiple Property Types
There are many different types of properties that you can create in
RentRight. The folders, screens and data fields are designed for the
individual property type. Different types of folders, screens and
reports will be available based upon the type of property you choose to
set up.
Create property groupings (groups of buildings,
companies, units) and re-group them at any time.You can
have all entries as one type of property or combine multiple types all
in the same database. Manage all your property types in one place.
Quick Setup of Your Properties
Quickly add one or thousands of units at one time with the Create New
Units wizard. This wizard will save you from redundant data entry when
you are inputting multiple units with similar attributes.
Store Digital Pictures or Scanned Documents
Store and display digital photos of tenants, properties, etc. Scan
driver's licenses, signed leases, floor plans, move in condition reports and more.
Late Fee Flexibility
Late fees are one of the most important tools a property
manager has for getting rents collected in a timely manner. Set up late
fees for how you do business. RentRight gives you a range of choices for
almost any way you choose to charge late fees. You can easily change the
late fee in one place and it will adjust the amount for all tenants who
have this late fee type assigned.
- Charge one time late fee
- Charge multiple late fees on different days

Organize Tenants

You can keep simple or detailed records about each tenant. Fill in only
the folders that you want. Some things you can record include:
- Incidents: Keep a dated record of all interactions with tenant. Include complaints, disputes, anything else you want. Changes to the tenant form can be automatically logged to this tenant's Incident Folder. Be reminded of Incidents you mark.
- History of Letters Sent: A dated history of all letters sent to a tenant is automatically logged. View a list of all letters sent to the tenant, and click on one to view or reprint.
- Personal Information: Social security number, E-mail, tenant photo, scanned documents, notes, move in and move out dates and much, much more.
- Security Deposits: Keep detailed transaction history of security deposits, including deposit
amounts paid and unpaid, and charges for damages. Total amount of money held for the tenant.
- Security Deposit Report: Showing all deposits held for a unit, building or by tenant list.
- Inactive Tenants: Keep a list of all tenant's who have moved out, for future reference. Click
one button to change a tenant to inactive, now the unit they rented shows as vacant too.
- Vehicles: List the allowed vehicles
- Employer: Previous and current employers can be listed in the Employer Folder
- Addresses: List the previous address of the tenant, including previous manager's contact
information. When tenant moves out, keep a record of new forwarding address.
- For Storage Units or Other Rentals in Which the Tenant Does Not Reside in the Rental Unit:
Just fill in the Bill To folder and invoices and receipts will be sent to that address.
- Recurring Charges: List
the recurring charges for this tenant. Charges can be set up
monthly, weekly, fortnightly, quarterly, and more. The charges you
set up will be billed to the tenant on the schedule you choose. Each
charge can have it's own late fee and can be shared with roommate(s).
- Roommates: Roommates can
be set up one of two ways. 1- Each tenant in the same unit can have
separate charges showing on separate invoices and receipts; or 2-
One or more charges can be shared. Shared charges will show up on
invoices of all tenants in that unit.
Prospective Tenants

You can use the Prospective Tenant Form to keep a waiting list
and organize the application process. When a particular Unit Type
becomes available (for example, two-bedroom), you can display only the
prospective tenants who have requested this unit type. This will assist
you in matching acceptable tenants with available units.

Complete and Fully-Integrated Accounting
RentRight is a complete, double-entry property
management accounting system. To support RentRight's ease of use, it has
been designed so that everything works automatically. It
removes the need to edit charts of accounts or make journal entries
unless you choose to. RentRight contains General Ledger and Balance
Sheet options.
Complete Accounts Payable System
With RentRight, track as many checking accounts as you
want, print checks and reconcile bank accounts.
Enter checks directly on the check register or use Quick
Bill Pay. With Bill Pay, simply enter your bills. You can split a bill
to more than one property and/or to more than one chart of account
category. When you are ready to pay bills, select those you want to pay
in whole or in part.
- Checks can be Split or Allocated to
More than one Property and/or Expense Category - For
example, you can write one check to the mortgage company for more
than one building, and the same check can also be broken into
expense categories for principal and interest for each property.
- Enter Bills as They Come in and Choose Which Ones to Print Later - Choose from a list of check marked as To Be Printed. Print and
Pay the ones you choose to pay today.

Automatic Transactions
RentRight can memorize bills, checks and journal entries
so that routine transactions will be entered automatically by the
software. Once bills or checks are memorized, they will come into your
software on the date(s) you specify.
Bank Deposits
Have as many deposit batches per day as you choose.
RentRight can select for you all of the un-deposited items of the same
payment type or from the same property. For example, RentRight will sort
for you all of the cash you have collected in one deposit, or all checks
from the tenants in one property.
Work Orders
Work Orders are a vital tool in the rental
property business. Though Work Order software is often purchased as a
stand-alone software, RentRight includes an integrated work order
systems at no additional charge. Making use of this feature will help
you to build your reputation for having well maintained properties and
for being responsive to tenant's maintenance needs. It includes:
- Reminders of outstanding work orders
- Scheduling of automatic work orders
- Customization of work order types
- Prioritization of work orders
- Charges to a tenant for all or part of a work order
- Comprehensive searching for work orders
If you are a small company, work orders are helpful for managing
weekly to-do list. For large companies, a maintenance crew can
access the database remotely for instant updating of work orders.
All that is needed is an Internet connection.
Robust Security
RentRight's security can be used to password-protect
your entire program. If you have more than one user, permissions can
be set to restrict access to particular sections of RentRight. For
example, you can set up privileges so that an individual user
doesn't have the ability to delete charges or payments.
Security can be set so that a user can see the
properties that they are managing but not all of the buildings and
tenants that the database contains. This gives each user a unique
and simpler view so there is no need to wade through irrelevant data.
More Security - Undeletable Records
RentRight has an automatic Activity Log, which is a
record of all users actions in the software. This log can't be
deleted by any user and will be retained for at least a year. A
manager can always go back and review a log of user interactions in
order to determine if improper user or theft is taking place.
Reminder System
The RentRight Reminder System is a great way to get an overview of
your business all on one screen.
Drill down on any item displayed in the Reminder
System to quickly see that item in RentRight. For example, if you
notice a tenant who is late paying rent, double click on the name to
open their Income Form to review account details.
Reminders include:
- Tenants who are late paying rent or other charges
- Tenants whose leases will expire in 30,60,90 days, as well as expired leases
- Incidents in the tenant's incident folder that have been set as reminders
- Incomplete Work Orders will be listed along with priority level
- Bills due
- Balance in Checking Accounts
- Property Insurance policies that are expiring
- And more...
Automatic Backups
Data loss can be an inconvenient occurrence when
using any software. RentRight includes automatic backup reminders.
These reminders will provide a backup that includes the file name.
You can also add a memo to remind you of what is on the backup, such
as "just posted all the rents". IN addition to reminders, RentRight
will automatically back up your data the first time you open the
program each day.

Use our provided fields throughout the software or
customize your own user defined types. Track what you want to track
as defined by your business.

Letters and Agreements
RentRight provides many professionally written letters and legal documents with added merge
fields. Just select the one you want and merge it with one or
multiple tenants. You can merge letters to all “late tenants” or all
“tenants whose leases are expiring”. You can use our professionally
drafted documents and letters, edit them, or write your own to save
to the list.
With RentRight, rather than using
a limited word processor embedded in the software, now you can use
the powerful word processor you are most familiar with, Microsoft
Word.
When you open Word through your RentRight software, you will have merge fields
available that will draw information out of your database into your
letters to tenants.
For your convenience, RentRight automatically keeps a history of all letters sent to each tenant
along with the date sent.
- Create Your Own: Add your
own letters and forms, or change ours for the way you do business.
- Merge: Easily add merge
fields such as tenant name, lease end date, etc. Create your form or
letter and insert the merge fields.
- Send Mailings: Create a
letter with merge fields. Then choose to send or E-mail the letter to all
tenants, or a select group, such as only those who have an unpaid
balance. Print mailing labels, or use our compatible double window
envelopes.
- History of Letters Sent:
Keep a dated record of all letters sent to each tenant. View the
list and select one to view or print.

Organize Buildings and Units
Buildings can be single family homes, or large complexes. You can easily
set up your buildings and units. No need to remember Property ID#s, just
find them listed by description or address from the drop down list. You
can combine different kinds of properties. For example, a trailer park,
a few duplexes, storage units, and a commercial property and all be
combined on the same software. You can keep simple or detailed records
about each unit and building. Fill in only the folders that you want.
Some things you can record include:
- Appliances: Keep
detailed record of each appliance, warranty and model number, and
other information.
- To-Do List: Keep and
prioritize a list of repairs, phone calls to return, items to buy,
etc. Be reminded of chores you marked.
- Classified Ad: Compose and
save the classified ad for each unit to save time each time there is
a vacancy.
- Mortgage Information: Keep
details about mortgages held for each building.
- Insurance Information:
Keep insurance information close at hand. Details of past claims,
agent's name, etc.
- Wall / Floor Coverings:
Plenty of room to record as many details as you want about each room
in the unit or building.
- Owners: Show the ownership
of each building.
- Vacancy Reports: Vacancy
reports can be run for a building, an owner, or for all properties
combined.

- Quick View: Tenant's Payment History
- Quickly Collect Rents: Collect income by typing in tenant last name, unit number, or ID
- Income Categories: Add as many income categories as you wish. (rent, parking, furniture
rental, etc.) Customize the categories to work with the type of
rental business you have (i.e. association dues, storage fees).
- Government Subsidies:
Easily add Section 8 or another source of subsidy as an income
category. Set up recurring charges for each tenant based on the
subsidy amount. Then simply collect these charges separately for the
tenant when the payment comes in. Print a separate report showing
all payments collected of that subsidy type.
- Payment Details: Record
payments of cash, check or credit toward charges. Apply the payment
easily with one click or apply the payment to the charges any way
you want, or as required by your state. For example, you can apply
part of the payment to the late charge and the remaining part of the
payment to a portion of a rent charge.
- One Time Charges: easily
add one-time charges or beginning balances.
- NSF: Checks returned for
non-sufficient funds are easy. Just highlight the line showing the
bad check and click the NSF button. The original charge will be
restored, and the NSF fee you determine will be added to the
balance.
- Tenant Receipts: Print
receipts quickly. Add a new custom message to the receipt or choose
from a list you make. Print on your own paper, or use RentRight
compatible receipt forms.
- Invoices: Send Next Period Invoices to one or a select group of tenants. Choose how far
in advance you want to bill for the next period.
- Late Rent Notices: Send
Late Rent Notices to only those who are late, tenants who are late
will automatically be selected for you. With one click, late notices
will be printed to all late tenants.
- Receipt and Invoice Forms: Forms with your imprint can be purchased that are compatible with
RentRight. They fit easily into our double window envelopes.
